Your privacy matters to us. This policy explains what personal data we collect when you use Apartments.com.gh, why we collect it, who we share it with, how long we keep it, and the rights you have over it under Ghana's Data Protection Act, 2012 (Act 843).

1 Who we are #s1
1.1 Apartments.com.gh (the "Platform") is operated by Apartments Global Limited, a company incorporated in Ghana under the Companies Act on 15 August 2019 with company registration number CS172462019 and Taxpayer Identification Number C0029163927, whose registered address is 2nd Floor, 10 Abafun Crescent, Labone, Accra ("we", "us", "our").
1.2 For the purposes of the Data Protection Act, 2012 (Act 843), we are the data controller of the personal data described in this policy. This means we are responsible for deciding how and why your personal data is processed.
1.3 We process personal data in accordance with the Data Protection Act, 2012 (Act 843), including its requirement that data controllers register with the Data Protection Commission before processing personal data.
2 Scope of this policy #s2
2.1 This policy applies to everyone who uses the Platform, including visitors who browse without an account, renters and buyers who search and enquire, and landlords, agents, developers and partners who list property or purchase services.
2.2 It covers our website, its subdomains and any related apps or services we operate. It does not cover third-party websites or services we link to, which have their own privacy policies (see section 7).
3 The data we collect #s3
3.1 Depending on how you use the Platform, we may collect the following categories of personal data:

3.2 You do not have to provide the data we ask for, but if you do not, we may be unable to provide part or all of the Platform or a requested service.
4 How we collect it #s4
4.1 We collect personal data:
- directly from you — when you create an account, publish a listing, make an enquiry, request a service, or contact us;
- automatically — as you use the Platform, through cookies and similar technologies (see section 6);
- from third parties — for example, service providers who help us operate the Platform, or a party you interact with through it (such as an agent responding to your enquiry).
5 Why we use your data, and our lawful basis #s5
5.1 We process personal data only where the Act 843 principles allow — in particular where processing is necessary to provide a service you have requested, to meet a legal obligation, for our legitimate business interests in operating and improving the Platform, or on the basis of your consent. We use your data to:
- create and manage your account, and authenticate you;
- publish your listings and connect you with other users;
- provide the services you request, including advertising, verification, inspection and photography;
- process payments and keep records required by law;
- respond to your enquiries and provide support;
- keep the Platform secure, prevent fraud and misuse, and enforce our Terms;
- understand how the Platform is used and improve it;
- send you service messages and, where you have consented, marketing (see section 14);
- comply with our legal and regulatory obligations.
5.2 Where we rely on your consent, you may withdraw it at any time (see section 13). Withdrawing consent does not affect processing already carried out.
6 Cookies & analytics #s6
6.1 We use cookies and similar technologies to make the Platform work, remember your preferences, keep you signed in, and understand how the Platform is used.
6.2 We use these broad categories of cookies:
- Strictly necessary — required for the Platform to function and for security. These cannot be switched off.
- Functional — remember your settings and preferences.
- Analytics — help us measure and improve how the Platform performs.
- Advertising — where used, help measure and (with consent) personalise advertising.
6.3 You can control cookies through your browser settings and, where we provide one, our cookie banner. Blocking some cookies may affect how the Platform works.
6.4 Where we use third-party analytics or advertising providers, they act as our service providers and only on our instructions. For the current list of the specific cookies and providers we use, and to manage your choices, please use our cookie settings and your browser controls.
7 When we share your data #s7
7.1 We do not sell your personal data. We share it only as described here:
- With other users, by design — when you publish a listing or make an enquiry, the relevant details are shared with the users you are transacting with (for example, an enquiry is shared with the lister you contact).
- With service providers — who process data on our behalf to operate the Platform (for example hosting, payment processing, communications and analytics), under contracts that require them to protect it and use it only on our instructions.
- For legal reasons — where required by law, court order, or a lawful request from a regulator such as the Data Protection Commission or the Rent Control Department, or to protect our rights, users or the public.
- In a business transfer — if we reorganise, merge or sell part of our business, subject to this policy.
7.2 We do not otherwise disclose your personal data to third parties for their own marketing without your consent.
8 Verification & sensitive documents #s8
8.1 Our land verification, inspection and related services may involve you uploading sensitive material — for example identity documents, land title documents, indentures, site plans and seller identification.
8.2 We treat this material with heightened care. We use it only to carry out the verification or service you have requested, restrict access to authorised personnel, and store it securely. We do not use uploaded identity or title documents for any unrelated purpose, and we do not share them except as needed to deliver the service or as required by law.
8.3 You must only upload documents you are lawfully entitled to submit. Do not upload another person's identity or title documents without their authority.
9 Payments #s9
9.1 Where you pay for a service, payment is handled through third-party payment providers. We receive confirmation of payment and the records we need for our accounts, but card and mobile-money credentials are handled by the payment provider under their own security standards and privacy terms.
9.2 We keep transaction records for as long as required for accounting, tax and legal purposes (see section 11).
10 International transfers #s10
10.1 Some of our service providers (for example hosting or analytics) may process data outside Ghana. Where personal data is transferred outside Ghana, we take steps consistent with the Data Protection Act, 2012 (Act 843) to ensure it remains protected — including transferring only where an adequate level of protection applies, or where a lawful basis for the transfer (such as your consent or contractual necessity) is available.
11 How long we keep your data #s11
11.1 We keep personal data only for as long as necessary for the purposes described in this policy, including to provide the Platform, to meet legal, accounting and regulatory obligations, to resolve disputes and to enforce our agreements.
11.2 When data is no longer needed, we delete it or anonymise it. As a guide, and unless a longer period is required by law or to resolve a dispute: we keep account data while your account is active and for up to 24 months after you close it; we keep financial and transaction records for 6 years to meet accounting and tax obligations; we keep documents uploaded for verification or inspection services for up to 12 months after the service is completed, then delete them; and we keep records of your marketing consent until you withdraw it and for a short period afterwards.
12 How we protect your data #s12
12.1 We apply appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access — including encryption in transit, access controls, and restricting access to those who need it. Passwords are stored in encrypted (hashed) form.
12.2 No system is completely secure. While we work to protect your data, we cannot guarantee absolute security, and you are responsible for keeping your account credentials confidential.
12.3 If a data breach occurs that affects your personal data, we will respond in line with our obligations under the Data Protection Act, 2012 (Act 843), including notifying the Data Protection Commission and affected individuals where required.
13 Your rights #s13
13.1 Under the Data Protection Act, 2012 (Act 843), you have the following rights over your personal data:
13.2 To exercise any of these rights, contact us at hello@apartments.com.gh. We may need to verify your identity before acting on a request, and we will respond within the time required by law. These rights are free to exercise, though we may charge a reasonable fee or decline a request that is manifestly unfounded or excessive, as permitted by law.
14 Marketing choices #s14
14.1 Where you have consented, or where the law otherwise allows, we may send you updates about the Platform, listings and services. Every marketing message includes a way to opt out, and you can also change your preferences in your account or by contacting us.
14.2 We will still send you essential service messages (for example about your account, a transaction, or security) even if you opt out of marketing.
15 Children #s15
15.1 The Platform is intended for users aged 18 and over. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will take appropriate steps to delete it.

17 Changes to this policy #s17
17.1 We may update this policy from time to time. The updated version takes effect when published, and we will change the "last updated" date above. For material changes, we will give reasonable notice by a prominent notice on the Platform and, where you have an account, by email.
